When Does This Solution Apply: When an HR Team Member needs to delete multiple 401K elections
Why It Occurs: When a Team Member elects 401K and waives and re-elects multiple times without solidifying their enrollment. The start date being off occurs when the Team Member changes their enrollment in 401K within their allotted time window before benefits start but have signed for their benefits.
Description: The article guides a benefits administrator through the process of deleting duplicate 401K elections and adjusted to the correct start date
1. Reach out to the Team Member and ask what they wanted their election to truly be.
2. Once confirmed, navigate to the Team Member record and select the Employment link
3. On the Employment Record, click the benefits link
4. Select the 401K record(s) that are duplicates, and select the Del button
5. Select Ok
6. Ensure the record(s) that remain are correct and reflect the correct amount.
7. Adjusting the Start Date
The start date for the 401K benefit uses a custom formula to apply the correct date. When their is a value in the benefit signed date on the employment record this formula automatically places the current date into the Start Date field. This usually doesn't cause an issue because Team Members who enroll when beginning usually do not change their election in the wait period they have for 401K to begin. However when Team Members change their election before they actually become eligible then this causes an issue.
To correct, review the previous election that termed and then adjust the incorrect start date record to match the previous record's start date.
Example:
New record has start date of 6/17/2020
Old record has start date of 10/1/2020
Update new record to have a start date of 10/1/2020
