Purpose: The purpose of this document is to guide you with instructions on how you can create custom email templates / notifications that get sent when a particular answer option is selected.
About Safety One Stop: This website is created for keeleyn’s to easily access forms like – Good Catch, Safety Assessment, COVID- 19 Awareness Assessment, Coaching Session Form and Event Report.
Who is this for: Team Members with Admin role
Accessing Safety one Stop website:
Open your browser and copy this link - https://safetyonestop.keeleycompanies.com
- Once opened, you will view the below page
- From here you will be able to navigate to any of the forms mentioned above, view all completed and in progress forms
- You will also have the ability to access the admin/ back-end of SOS
- The options on the left help you navigate to the Admin section where you can create new forms, edit existing forms and create custom email templates.
- Click on the drop down arrow next to 'Admin' to view the available options
There are two ways to create custom email notifications:
1. First one is by navigating to the admin menu item
2. Second one is while creating a form
Option 1:
- You will now see a new option 'Email Templates'
- Click on that to view the custom templates
- If you have none created, you will not see the list as below
- To add or create a new notification, click on the '+' icon at the top
- That would open a pop up window that allows you to create the custom notification
- Add the name that would be visible in the 'Notification Center' for admins and non-admins so they could subscribe to it
- 'Is Active' is always checked by default. This allows the notification to be used when you as the admin are creating the form
- Add a description to help another admin understand what that particular notification does or when it is meant to fire
- Add the subject that the individual receiving the email notification will see
- Scroll down to view the editor where you can type in the body of your email
- This is what the individual receiving the email will see
- You can use the available functions to add bullet points, highlight or underline the body of the email as needed
- Once you have completed typing that in, click 'Ok'
- The pop up window will close and you will see the template you created, added to the list
- To preview what the body of the notification is, click on the second icon
- To edit the content, click on the pencil icon
- If everything looks good, navigate to 'Email Notifications' to confirm you can see the notification you created
- You can then subscribe to receive alerts for the same by clicking on the toggle to make it green
- Click the save button
Option 2 for creating a custom email notification:
- When editing a form, you will now see a new option available for all Single select, Multi select and Picklist type of questions
- This new feature or option is called 'Email Notification Rules'
- This is where you can assign a custom notification to fire based on the answer option that was selected
- Click it to expand the options
- Add the trigger for the email
- In this case, if the Team Member Selects 'Yes', we want the notification to be sent
- Click on the drop down to see the available email templates
- In the event that you don't see the appropriate one, you can click on the '+' icon on the right to add a new email template
- That would open the same editor window as mentioned above
- Fill in the details as necessary and click ok
- To get a preview, click on the second icon next to '+'
- Once completed, click the save button and publish the form.
- Ensure you have subscribed to the notification from the 'Email Notifications' menu item
