How to Add a Declined Meeting Back to Your Outlook Calendar
Purpose
This article explains how to locate and restore a meeting that was accidentally declined in Microsoft Outlook.
Symptoms
Users may experience one or more of the following:
- The meeting was accidentally declined.
- The meeting no longer appears on the calendar.
- The organizer has not sent a new invitation.
- The user needs to attend the meeting after declining it.
- The meeting details need to be recovered.
Important Notes
Important: In some versions of New Outlook, declined meetings may be removed from the calendar entirely. The original invitation may not provide an option of accepting the meeting again. If this occurs, the quickest resolution is often to ask the meeting organizer to resend the invitation.
Step 1 – Search for the Original Meeting Invitation
- Open Outlook.
- Navigate to your Inbox.
- Use the Search bar at the top of Outlook.

Search for:
- The meeting subject
- The organizer's name
- Keywords from the invitation
- Locate the original meeting invitation.
Search Outlook for the original meeting invitation using the meeting subject or organizer's name.
Step 2 – Open the Meeting Invitation
- Double-click the meeting invitation.

Review the meeting details:
- Subject
- Date and time
- Organizer
- Location or Teams link
Open the original invitation to review the meeting information.
Step 3 – Determine Whether the Invitation Can Be Recovered
After opening the original invitation:
- Review the meeting details.
- Check whether Outlook provides any option to respond to the invitation again.
- If no option is available, proceed to the next steps.
In New Outlook, previously declined meetings may not provide an option to accept the invitation again.
Important Note
New Outlook may remove the ability to reaccept a meeting after it has been declined. If the Accept option is unavailable, the meeting organizer may need to resend the invitation.
Step 4 – Check the Deleted Items Folder
If the invitation cannot be found in the Inbox:
- Open the Deleted Items folder.
- Search for the meeting invitation.
- Open the invitation if it is found.
Check Deleted Items if the original invitation is no longer in the Inbox.
Step 5 – Restore the Invitation
If the invitation was located in Deleted Items:
- Right-click the meeting invitation.
- Select Move.
- Move the invitation back to the Inbox.
- Reopen the invitation.
Restore the invitation before attempting to reaccept the meeting.
Step 6 – Ask the Organizer to Resend the Invitation
If the invitation cannot be found or Outlook does not allow the meeting to be accepted again:
- Contact the meeting organizer.
- Request that they resend the meeting invitation.
- Open the new invitation when received.
- Click Accept.
Request a new invitation from the meeting organizer if the original invitation cannot be recovered.
Step 7 – Verify the Meeting Appears on Your Calendar
- Open your Outlook Calendar.
- Navigate to the meeting date.
- Confirm the meeting appears on the calendar.
Verify that the meeting has been successfully restored to your calendar.
Troubleshooting
Accept Option Is Missing
If the Accept button is unavailable:
- Search for the original invitation.
- Check Deleted Items.
- Ask the organizer to resend the invitation.
Meeting Still Does Not Appear
If the meeting has been accepted but does not appear:
- Restart Outlook.
- Verify Outlook synchronization has been completed.
- Check Outlook Web Access (OWA) to see if the meeting appears there.
Escalation Criteria
Escalate the issue if:
- The meeting invitation cannot be located.
- Deleted Items has already been emptied.
- The organizer cannot resend the invitation.
- Outlook synchronization issues are suspected.
- Multiple users report similar behavior,
